Not all venues or vendors handle full setup and breakdown, which can leave couples and their families scrambling on the big day. If you have DIY décor, rental items, or intricate details that need special attention, our team can step in to ensure everything is set up beautifully and packed away properly. Let us handle the details so you and your loved ones can simply enjoy the celebration!

Here are examples of tasks that should be handled by vendors, but we can assist with for an added charge:

Designing and assembling centerpieces, bouquets, and floral installations

Hanging floral arrangements, garlands, or greenery

Setting floral centerpieces on tables if they require assembly or adjustments

Collecting and packing up rental items at the end of the night

Setting tables with linens, dishes, glassware, and flatware

Folding napkins and placing menus

Clearing plates, glassware, and trash throughout the event

Pouring and refilling champagne or wine at tables

Placing linens on tables if not pre-set

Setting up and breaking down their own sound equipment

Managing microphones for speeches and music transitions

Hanging string lights or drapery (Lighting & Décor Vendors)

Taking trash to dumpsters (Venue or Catering Team)

Moving or rearranging heavy furniture or lounge setups (Rental Company)

Setting up and breaking down tables and chairs

Our role as wedding coordinators is to manage the flow of the day, not to replace vendors who specialize in setup and teardown. When we’re asked to take on tasks outside of coordination, it requires extra staff, time, and effort—this is why additional fees apply.

If you’re unsure who is responsible for a task, we’re happy to help clarify! If extra hands are needed, we can discuss adding setup or teardown services to your package for an additional fee.
